Privacy policy

In force from 25 October 2026.

Controller

The data controller is EDUBITE sp. z o.o., ul. Olszańska 7, 31-513 Kraków, KRS 0000892466, NIP 6751748512, the organiser of AI x Voices.

For anything about your personal data, write to hi@aixv.ai. The organisers, Maciej Caputa and Michał Ksiądzyna, read this address.

Talk proposal form

The form collects your full name, email address, working title of the talk, the languages you can speak in and, optionally, a description of the talk.

We send the proposal by email to the organisers and a confirmation to your address. Both emails pass through Resend, which keeps sent messages for its service's retention period, and land in the organisers' mailboxes (Maciej Caputa, Michał Ksiądzyna) at their email providers. We do not store proposals in a database.

The organisers, Maciej Caputa and Michał Ksiądzyna, authorised by EDUBITE sp. z o.o., have access to proposals.

We process the data to handle your proposal and to contact you about the talk. The legal basis is your consent (Article 6(1)(a) GDPR). You can withdraw it at any time by email to the address above. Withdrawal does not affect what we did before.

We keep a proposal until the work on the edition ends or until you withdraw consent.

To block spam, the server counts proposals sent from one IP address. It keeps only a hash of the address in memory, never the address itself. Every new proposal removes hashes older than an hour, and a server restart removes them all.

Event sign-ups

Luma (luma.com) runs sign-ups for the editions. Luma collects the sign-up data as a separate controller, under its own privacy policy.

On the home page, the editions list and the edition pages, the sign-up button loads a Luma script and the guest list shows photos from Luma's servers. Your browser then connects to Luma.

Server logs, analytics and cookies

Vercel hosts the site. On every visit the server records technical request data, including the IP address and the page address. We do this to keep the site running and to detect errors and abuse. The legal basis is our legitimate interest (Article 6(1)(f) GDPR).

The site has no analytics tools or advertising pixels and stores nothing in your browser: no cookies and no data in browser storage.

If you arrive from a link with a utm_source parameter (for example an ad or a post), the site adds its value to the links between our pages (the src parameter) and to the Luma sign-up links, so we know where a sign-up came from. The value lives only in the page address.

Who we share data with

Vercel Inc. (hosting and logs, USA), Resend (sending the form emails, USA) and ImprovMX Incorporated (forwarding mail from hi@aixv.ai to the organisers, USA) process data on our behalf.

Vercel Inc. and Resend are active participants in the EU-U.S. Data Privacy Framework (dataprivacyframework.gov list, checked 25.10.2026), so the transfer to the USA relies on the European Commission's adequacy decision.

Your rights

You have the right to access, rectify and erase your data, to restrict its processing, to data portability and to object (Articles 15–21 GDPR). Write to the address above.

You can lodge a complaint with the President of the Personal Data Protection Office (Prezes UODO), ul. Stawki 2, 00-193 Warszawa, Poland.
